The Office Manager assists the Administrator in all phases of facility organization. The Office Manager is the Personnel/Payroll liaison to the Managing Company.Reports To: AdministratorJob Duties:Work comfortably and cooperatively with all staff, residents and family members in receiving, directing and responding to their questions, concerns and commentsAnswer or direct questions from case managers, doctor's offices, Home Health, Hospice, hospitals, insurance companies, medical supply companies, pharmacies, etcKnow and follow the company's policies and proceduresGreet all who enter the facility with a friendly smile that says, we careCheerfully answer phone calls, take messages and/or forward callsReview inter-shift log and read progress notesHandle sales calls, consulting with AdministratorContact family members for resident suppliesKeep resident database up-to-dateKeep resident binders up-to-dateAssist with marketingAnswer prospective resident inquiries (Rapid Inquiry Form)TrackProspect MarketingSchedule and direct facility toursMail brochures and other facility informationFollow-up on prospective resident inquiriesFacilitate new resident admissions, working with family and residents to complete all necessary formsSend monthly invoices to residents, billing representatives or stateRespond to nurse call system, directing staff as requiredAssist with schedulingSchedule appointments for Administrator and other staffSchedule medical appointments and transportation for residentsSchedule caregiver escort to appointmentsFacilitate employee work schedules (if directed by Administrator)Coordinate payroll with corporate officeManage personnel informationEmployee filesBackground checksCoordinate trainingCoordinate employee reviewsEdit employee time and attendanceFacilitate payroll processing semi-monthlyProcess employee benefitsNotify CPM of new hires, LOA, FMLA, terminationsDo general filingFacilitate Assessments and Service PlansCoordinate and track facility maintenanceHandle all facility email and postageKey Competencies:Job KnowledgeProblem SolvingPlanning and OrganizationTeamworkAttendance and PunctualityCommunication SkillsOrganization SupportCustomer ServiceComputer Programs Compliance
