Job SummaryThe Scheduling Specialist accurately and safely schedules all patients for SPMC outpatient clinics in accordance with established protocols and guidelines. Promptly and professionally answers incoming calls to Summit Pacific Medical Center (SPMC).Duties and ResponsibilitiesResponds to patient inquiries and requests and completes timely and accurate patient intake while ensuring the patient's comfort, dignity, safety and confidentiality at all times.Answers all incoming phone calls to SPMC in a timely, professional and calm manner.Transfers calls appropriately and professionally.Accurately and efficiently schedules patients using the District's software system(s), using established guidelines and protocols.Ensures accurate patient demographic and billing information is correctly entered to the Districts software system(s).Accurately and correctly verifies all insurance information at the time of scheduling appointment. Completes and documents pre-authorization when required. Researches and analyzes alternatives for improving workflows. Develops "best practice" recommendations by partnering with other team members in examining data and identifying trends.Maintains a clean, organized and professional work environment. Performs other related duties as assigned. *Essential Job FunctionOrganizational ResponsibilitiesIn addition to the duties and responsibilities listed above, all employees are expected to support the Summit Pacific Medical Center mission, vision and values; comply with SPMC policies and procedures; and conduct themselves in an ethical, professional, respectful, and collaborative manner at all times.Required Education and Experience High School Diploma or equivalent. Associate's degree preferred.Six (6) months of customer service and clerical experience.Knowledge of medical terminology is preferred.Required Licenses, Certifications and/or RegistrationsBasic Life Support (BLS) certification encouraged.Required Knowledge, Skills, AbilitiesAbility to thrive in a fast-paced setting while providing timely and exceptional customer service, demonstrating a consistently positive and professional demeanor, and maintaining accurate records. Ability to develop and maintain proficiency with insurance verification processes via multiple online and telephone insurance registry systems.Strong computer and technology skills. Proficient in the use of current technology, including Microsoft Office products, computers, email, copiers, scanners, multi-line telephones, credit card machines and faxes. Strong problem-solving and organization skills; ability to effectively prioritize work. Ability to remain calm, professional, and on-task during emergencies, high-volume or stressful times.Ability to be flexible and adapt to changing workloads, locations, and/or task assignments. Professional and effective written and verbal communication skills.
