Job Description:

Small, dynamic and fast growing management company in Mill Creek is looking to hire a full-time community association assistant. We are looking for someone ready to grow with the company and interested in helping to grow the company. Summary: The Assistant Community Association Manager is responsible for the support of community associations (homeowners & condominium associations), including, but not limited to: daily operations, regular interaction with and support of Board of Directors members/homeowners/vendors and meeting attendance. Association management requires excellent organizational skills, the ability to multi-task and stay calm under pressure, and impeccable verbal and written communication skills. Primary Duties: As the Community Association Assistant you will be responsible for a wide variety of duties including (but not limited to) the following: - Provide information to the Board - Assist the Community Association Manager in the operation and administration of the Association in accordance with management agreement and the Association's policies and procedures. - Process architectural compliance request - Maintain community information - Manage approved annual budget - Contact vendors & contractors to obtain quotes for regular maintenance and projects - Coordinate vendors and regular maintenance of the association - Attend and participate in Board meetings if needed - Review and respond to communications from Association members - Manage special projects and perform other duties as requested by the Board or assigned by the management company - Respond to communications from the Board and homeowners in a timely and professional manner - Perform walkthrough of associations. - Other administrative tasks. Experience/ Skills Required: In a candidate, we are looking for the following skills: - Energetic and dedicated with strong organizational and communication skills. - Ability to prioritize and organize his/her workday with interruptions and changing priorities and ability to work well under pressure with time-sensitive tasks, balancing due dates and deadlines. - A positive attitude and ability to empathize with sometimes difficult people. - Capable of interacting in a professional manner with clients, customers, board members and vendors and must be able to work with a diverse group of homeowners. - Ability to compose business letters and professionals emails. - Details oriented - Strong analytical, organizational, and problem-solving skills - A team player - Excellent listening skills - Excellent verbal and interpersonal skills required - Excellent organization and prioritization skills required - Flexible schedule and the ability to work independently Job Qualifications: Minimum of High School Diploma, Bachelor preferred Must have previous experience in HOA and condo management - at least 1 year Must have knowledge of work, excel & outlook. Must be able to create spreadsheets, formulas, in Excel. Excellent general computer skills Professional attire and demeanor at all times Flexible schedule (monthly or quarterly evening meetings required) Reliable transportation with valid driver license and insurance Ability to learn new software quickly. Knowledge of Appfolio software a plus Strong Work Ethic Candidate will be required to obtain the CMCA designation within 120 days.
