Position: Project Manager Assistant

Location: Tacoma, WA

What You'll Do:

  • Responsible for utilization of ProCore Management on ALL projects
    • Bid set-up and distribution (vendor selection by Project Managers)
    • Job set-up after awarded project
    • Document management within ProCore
    • Handle Submittals and RFIs after project awarded and set up in ProCore
    • Monitor that Superintendents are utilizing ProCore correctly and fully
    • Close-out of projects and archiving within ProCore
    • Project Management Assistant
      • Assist in bidding large projects - perform light bidding on own
      • Oversee timely close-out of projects
      • Prepare as-built drawings when required for close-out documentation
        • File Center
          • Bid, job set-up and filing within File Center
          • Document management within File Center
          • Filing
            • Create folders for filing and filing of bids/projects
            • Document management of hard copy filing
            • Contract, Subcontract, Purchase Orders
              • Verify contractor licenses, insurance and compliance is in good standing with Labor & Industries
              • Create Owner Contracts, Subcontracts, Purchase Orders and ensure they are executed for each project
              • Send contracts through DocuSign and track them
              • Create COPs, CORs, CDs, COs, sub-modifications and track them
              • Identify close-out requirements on all projects, coordinate closeout requests from subcontractors and submit to Owner/Architect upon project completion
              • Sage Entry
                • Responsible for setting up new projects in Sage
                • Responsible for entering project estimates in Sage provided by project manager
                • Responsible for entering subcontractor commitments provided by project manager
                • Responsible for entering approved Change Orders and Subcontractor Modifications in Sage
                • Responsible for maintaining vendor compliance for projects within Sage
                • Pre-qual packets
                  • Responsible for maintaining current information required for packets
                  • Assembly of pre-qualification packets for customer distribution
                  • Filing of pre-qualification packets for future reference and use
                  • Misc.
                    • Responsible for maintaining Site Specific Safety manuals and tracking Safety Paperwork
                    • Responsible for Certificate of Insurance requirements are met for projects (GC & Vendor)
                    • Responsible for bond, builders' risk and additional coverage requirements for bids and projects
                    • Responsible for all bid coordination, review, and preparation of bid package documents as well as bid submission

                      What You Need to Have:
                      • Minimum of 3 years construction management and or craft supervision experience.
                      • Thorough knowledge of all aspects of constructions methods.
                      • Competent understanding of construction safety.
                      • Must be able to pass a pre-employment drug screen and driving record screen.
                      • General Carpentry experience on commercial projects.
                      • Computer skills to include email, scheduling, daily inspections and safety reporting.
                      • Excellent communication, organizational and management skills.
